Excel spreadsheets

Keep the spreadsheet. Leave out the names.

Need to anonymise an Excel sheet before using AI? Choose the columns you want to replace, keep the numbers you need, and download a separate copy. Bring the answer back to put the selected details in again.

Works with .xlsx files. This replaces chosen identifiers; it does not guarantee that the remaining data is anonymous.

See what changes, and what comes back

Illustrative example. Document examples use fictional details, not a real person's records.

Your original

Name Budget
Alex Morgan 12500
Sam Taylor 18000

Your copy for AI

Name Budget
REF_7a91c82d4e60_0001 12500
REF_7a91c82d4e60_0002 18000

The answer from AI

REF_7a91c82d4e60_0002 has the larger budget.

The restored answer

Sam Taylor has the larger budget.

From your document to a usable answer

  1. 1

    Open your workbook

Add the .xlsx file in the workspace. The first row is treated as column headings by default. Turn that option off if your sheet has no headings.

  2. 2

    Choose whole columns

Click a heading, such as Name or Email, to replace all its data values on that worksheet. Click again to undo. Repeat on other worksheets where needed; selecting one sheet does not select the others.

  3. 3

    Download the AI copy

Check the values still visible, then choose Download copy for AI. The matching details save in this browser before a fresh Excel file downloads. Attach only that prepared file to your approved AI account.

  4. 4

    Bring the answer back

Ask the AI to preserve every full REF_ label. Open Restore answer at the same website address and in the same browser profile, then add its returned file or paste the answer.

Rows and values stay useful

Headings stay unchanged unless you turn off heading protection. Selecting the Name column leaves unselected budgets, scores and dates available for analysis. The preview shows the original text and its replacement so you can see what will change.

Repeated exact values share a label. Two different people with the same name are not automatically distinguished. The label stands for selected text, not a verified person or a unique row.

What the new Excel file contains

The export is a fresh workbook with generic sheet names and saved cell values. It does not preserve formulas, formatting, comments or the original file metadata. Formula cells without saved results and Excel errors stop import rather than silently inventing values.

Hidden worksheets, rows and cells can be included in extraction. Check every worksheet and remove unnecessary information before sharing. Replacing the names alone may leave identifying roles, dates, locations or small groups visible.

Check that your file fits

Use .xlsx, not .xls, .xlsm or a password-protected workbook. The current limits include 8 MB per file, 30,000 extracted cells, 3,000 rows, 60 columns and 30 worksheets. You can select up to 1,000 distinct pieces of text.

You can use ChatGPT, Gemini or Claude through your own account. Adaped opens their website; it does not attach the file or submit your question for you. Your organisation still decides which account and data are approved.

Before you start

Can the answer come back in a different order?

Yes, if the full replacement labels remain intact. Restoration follows exact labels, not row positions. A Word answer can also refer to labels from an Excel source. Changed, shortened or mixed labels cannot be safely guessed.

Do I need a second download or a password?

Not for new documents on the same address and browser profile. Matching details save when you download the AI copy. Use the optional restore file only when deliberately moving to another browser or address. It contains originals and must never go to AI.
